Enter an employee’s tax details into Bob so they automatically sync to UK Payroll. Any HMRC P6 and P9 updates will automatically display in Bob.

Before you begin

Ensure you have restored the UK tax settings category for your employee profiles.

  1. Navigate to Bob products > System Settings > Data management > People’s data fields.
  2. Restore the archived UK tax settings category in People's data fields and add or remove any columns as necessary. To learn more, see How to use a previously archived item.

    Note: Existing employees’ tax information will automatically appear in their Bob profile.

  3. Update any areas in Bob that use UK tax setting details, such as flows, tasks, and reports to ensure the data is being taken from this category. To learn more about flows, see Set up a people data updates flow with approvals.

How to enter an employee’s UK tax details

Note: Only enter P45 information from the current tax year.

  1. From the left menu, select Org > People.
  2. From the Directory, select an employee to enter their profile.
  3. In the top right corner of the UK tax settings section, click the pencil icon.
  4. Enter in the employee’s tax details. Values entered into this section automatically sync to UK Payroll, and any HMRC updates will automatically appear in Bob.

    Note: After the employee’s tax information is entered, the fields will no longer be editable, with the exception of Repaying student or postgraduate loan type, Company listed Director, and Directors national insurance basis. If these three fields are left empty, they can later be updated. However, once they have been filled, they will also become uneditable. 

Tip: Include entering an employee’s UK tax details as a mandatory action in a UK site-only New Hire flow to ensure that every employee has their information entered correctly. To learn more, see Set up a New Hire flow.

FAQs

Will my existing employees' tax settings data automatically sync from UK Payroll to Bob?
No. However, any HMRC updates (including P6 or P9 changes) or manual updates within Bob will automatically appear in Bob and will override any previous values in UK Payroll. 

For example, if an existing employee in UK Payroll doesn't have all of their tax settings data in Bob, the tax code stored in UK Payroll will be used to pay them correctly. However, if the field is updated in Bob, the update will appear in UK Payroll. 

Can my employees see their tax codes in Bob in the UK tax settings category?
Yes. If you manually enter their tax code into Bob, they will be able to view it in their employee profile. Please note the tax code will automatically sync to UK Payroll, so ensure that any manual updates you make are in line with HMRC guidance.
