Save time by updating multiple employee pension records at once using a XLSX, XLS, or CSV file. This can be useful if you’re switching pension providers or changing from one pension type to another.
How to bulk upload pensions from a file
Note: Employee ID is a mandatory column for both the manual and file upload. If the enrollment status is Opted out, an opt-out date is also mandatory.
- From the left side bar, select Employees.
- Click Import/Export in the top right and select Import pensions.
- Click Select file to use the file navigator, or drag and drop your file into the screen.
Tip: To understand what should go in each column, refer to the examples under each column header.
- Select the correct header row.
- Once headers are confirmed, the column headings will begin matching automatically, which you can confirm by clicking Confirm mapping. If you have any columns that are unable to be matched, select the correct option from the dropdown menu.
- To quickly validate the data, toggle on Show only rows with errors. You can then validate the data at the row or cell level.
Note: Rows with errors will be ignored.
- If you are ready to submit, click Yes.

What columns should be included in an uploaded file?
The headings required are: Employee ID, Is this a new enrolment?, Is eligible for tax relief?, Pension provider, Groups, Pension type, Enrolment status, Start date, Leave date, Opt out date, Deferral date, EE contribution amount, EE contribution unit, ER contribution amount, ER contribution unit, and Skip sending enrolment.
Tip: If you choose to use your own headings, UK Payroll will automatically try to match your headings, so try to choose similar or easily identifiable headings.
If I’m bulk uploading a file, how should dates be formatted?
DD/MM/YYYY or YYYY/MM/DD. The numbers must be separated by a forward slash (/).
