Getting started with Employees in UK Payroll

Keep track of all of your employees in UK Payroll, update their information, and access key related documents.

Get the most out of Bob

  • View and update employee information.
  • Manually sync employee information between Bob and UK Payroll.
  • Import and export key employee data.
  • Manually add employees to UK Payroll.

How to use Employees

  1. From the left menu, click Employees. This will show you a list of all Active employees.
  2. To manually add a new employee, click Add employee. To learn more, see Add an employee.
  3. To view terminated employees, click Terminated.
  4. Select the relevant employee.
  5. Click View payments > View payslip to view the employee's draft payslip.
  6. Click View payments > View employee pay records to see a table view of payments, deductions, pensions, and benefits in kind.
  7. Click Actions to download or send an employee's previous P60s, P45 (if applicable), Terminate employment, or to Sync now with Bob.
  8. In General, you can update key employee information, such as address, job title, bank information, company directorship, and more.
  9. In Compensation, you can add and update salary information, rates, and work patterns. To learn more, see Set salaries and pay rates and Set work patterns.
  10. In Work hours, you can view Draft and Submitted work hours. To learn more, see Add work hours.
  11. In Taxes, you can enter and update tax information.
  12. In Pension, you can view pension eligibility and enroll employees into pension schemes. To learn more, see Enroll staff into a pension scheme.
  13. In Pay items, you can view and add pay items. To learn more, see Add recurring pay items and Add Benefits in Kind.
  14. In Absences, you can add holiday, sick, and other leave. To learn more, see Set up holiday pay and Set up sick leave.
  15. In Activity, you can view all of the actions taken within an employee's profile.
  16. In Parental leave, you can enter and update parental leave. To learn more, see Set up parental pay and leave.

How to import or export employee data

  1. In Employees, click Import/Export.
  2. Click Import tax codes to bulk import updated tax codes. To learn more, see Bulk update tax codes.
  3. Click Import pensions to bulk import updated pensions. To learn more, see Bulk update pensions.
  4. Click Import student loans to bulk import updated student loans. To learn more, see How to bulk update student loans from a file.
  5. Click Import annual salaries to bulk import updated annual salaries. To learn more, see How to bulk update salaries from a file.
  6. Click Import work patterns to bulk import updated work patterns. To learn more, see How to bulk update work patterns from a file.
  7. Click Import recurring pay items to bulk import recurring pay items. To learn more, see How to bulk add recurring pay items.
  8. Click Import company car pay items to bulk import company car pay items. To learn more, see How to bulk add company car pay items.
  9. Click Download pension report to download a CSV pension report for your employees. To learn more, see Pension duties.
  10. Click Export employee data to download a CSV with your employees' data. Mark Export all data to download all employee data, and click Export. To create a customized report, mark Customise data report and mark the boxes next to the relevant data types (General, Salary, Taxes, Pension, Pay items, Starting point, Parental leave). Then, click Export.
