How to view updates from HMRC

Employee updates from HMRC displays the date and time records were last updated. This page is refreshed daily, so information is always up to date.

  1. From the left sidebar, select HMRC Documents.
  2. Select the Employee updates from HMRC tile.
  3. To view updates within a certain time frame, select a Start date and End date. You can also Filter by updates With errors, or by Cycle name is Monthly and Cycle name is Weekly.
  4. The updates tiles give you an at-a-glance overview of the number of NI Number, Tax code, and Student/Postgraduate loan updates, and if there are any errors that must be resolved.
  5. Toggle between NI Number, Tax code, and Student/Postgraduate loans to view individual update details. The updates are organized by Issued date.

    Tip: If you want to focus on a specific employee's record, click on the search icon. You can also click on the column headers to sort data.

  6. To update an employee's information, click on the error icon to the left of the impacted employee.
  7. Click Download to download a CSV report of the HMRC updates.

    Tip: You can also share this dashboard with other UK Payroll users by sending them the URL.

How to download an Employer Payment Summary (EPS)

Access all EPS submissions. Your current EPS file appears as a Draft, and any historic EPS records are available under Past EPS files (even if there is no submission, i.e. when there are no extraordinary items to report to HMRC in a tax period. Downloaded EPS files reflect the data submitted to HMRC.

Note: An EPS will only be submitted when your payroll includes recovered statutory payments, Apprenticeship Levy allowance information, or an Employment Allowance claim indicator.

  1. From the left sidebar, select HMRC Documents.
  2. Select the Employer Payment Summary (EPS) tile.
  3. Click Download to the right of the relevant month.

Note: The downloaded EPS file will only contain columns where data has been populated.

Note: If a correction is made and the EPS is re-sent to HMRC, an updated label will appear to the right of the relevant month.

How to bulk send and download P60s

  1. From the left menu, select HMRC Documents.
  2. Click the P60s tile.
  3. If available, click Send P60s to the right of the relevant tax year to send P60s to employees at the end of each tax year.
  4. To access historical P60s, click Request file to the right of the relevant tax year.

    Tip: If an employee requests a duplicate P60, you can download the P60 from the relevant tax year and issue it directly to the employee outside of UK Payroll.

How to view and download P11D/P11D(b)s

  1. From the left sidebar, select HMRC Documents.
  2. Click on the P11Ds and P11D(b) tile.
  3. Select the relevant tax year.
  4. Click on the Download P11D button or the Download P11D(b) report button.

How to view and download P32s

The P32 is the Employer Payment Record, or the form employers use to record all payments to HMRC within a tax year. View your P32 to ensure you're paying the correct amount to HMRC.

  1. From the left sidebar, select HMRC Documents.
  2. Click on the P32 tile.
  3. Ensure the Tax year, Tax month start, and Tax month end dropdowns are correct for your reporting purposes.
  4. To download the report, click the Download button in the top right corner.

The P32 report rows list the following deductions: Total PAYE, PAYE / income tax, Student loan, Postgraduate loan, National Insurance, Employee NIC, Employer NIC, Employer Class 1A NIC, Employment allowance, Apprenticeship levy, Statutory pay claim, and the total Payment due per payroll cycle (columns). The final column lists the Total payments per deduction.

FAQs

Why hasn't a P60 been produced?
P60s aren't produced if:

  • The first live payroll processed in UK Payroll is for the first period of a new tax year. In that instance, P60s for a previous tax year would need to be produced by whoever processed the final payroll of the tax year.
  • An employee isn't both in employment and paid on 5th April. Anyone who has a leave date before 5th April will not receive a P60 and their pay information for the year for this company will be on their P45.
  • An employee hasn't been paid via UK Payroll on or before 5th April. This employee will not receive a P60 as there are no earnings in the previous tax year to report on a P60.

Attempting to generate P60s in these scenarios will result in download errors, as there is no P60 to generate.
